The Bid Co-Ordinator will be primarily responsible for managing and co-ordinating the necessary activity to respond to request for proposals (RFPs) from customers. The Bid Co-Ordinator will actively and comprehensively take ownership and manage all our formal tenders and major proposals, ensuring the timely submission of winning bids.​

The Bid Co-Ordinator, reporting directly to the Head of Function – Commercial and Bid 
Management, is primarily responsible for managing and co-ordinating the necessary activity to respond to request for proposals (RFPs) from customers. 

The Bid Co-ordinator will coordinate the creation of the solution and proposal ensuring compliance with sell and win processes and customer requirements while highlighting company value proposition. 

Position Responsibilities:

The Bid Co-Ordinator will actively and comprehensively take ownership and manage all our formal tenders and major proposals, ensuring the timely submission of winning bids.

The Bid Co-Ordinator will assemble bid teams with the relevant service / product / business 
knowledge required to prepare a winning bid, whilst taking ownership of the end-to-end bid 
process. 
The Bid Co-Ordinator is responsible for managing an opportunity from initial assessment through to contract award, including value proposition / strategy development, solution development, commercial considerations, partner identification, and risk management. 
Responsibilities include the introduction and implementation of all necessary sell and win 
procedures, governance, and processes. This is a highly networked role that requires an 
ability to work under pressure and to challenging deadlines. It will require strong people management and commercial skills.

• Responsible for the production, quality and timely delivery of compliant, commercially sounds, market-leading, winning bids and proposals.
• Manage virtual bid teams and inputs from a variety of stakeholders, typically involving contributions from sales, marketing, competency, finance, legal and delivery

Increase the win rate / effectiveness of our bids and proposals. • Prepare and review the commercial aspects of the bid, ensuring all services are included in the final price to the customer. • Track and effectively manage issues and risks throughout the bid process. • Contribute to the written proposal - both in terms of content and presentation (such as preparation of an executive / management summary). • Manage and present the presales budget. • Understand and resolve complex technical, strategic and business issues. • Arrange all post bid reviews with customers, post contract award. • Manage the legal and compliance processes for all legals relating to all opportunities and customer engagements. • Manage the sales to delivery handover process for all won opportunities. • Ensure that all bid documentation produced is fully compliant with customer requirements. • Ensure compliance to the sell, win and legal processes. • Ensure that all formal bids and direct proposals managed have gone through the appropriate commercial signoff process

Interface with all parts of business as necessary for the completion of bids and proposals. • Maximise personal contribution to the success of the Presales and Design team and of Auxilion business and the Group overall. • Perform a critical review of presales, sell and win processes to identify areas to create efficiency and to optimise the processes. • Perform a review of win and loss opportunities to ensure key lessons are learned. • Reviewing trends and carrying out data analysis to identify areas for improvement. • Participate in account planning and attend account reviews. • Produce regular presales activity and progress reports to line manager and/or Senior Management Team. • Identify, agree and deliver on key performance indicators for the area.

Experience managing multiple internal and external stakeholders. • Experience managing virtual teams • Previous bid management and presales experience is desirable but not essential. • A solid understanding of service offerings (Consulting, Managed Services, Business Enablement, Business Solutions and Flexible Resourcing) would be a distinct advantage. • Business or Technical Writing is desirable but not essential. • Understand the procurement processes. • Proficient at producing and presenting proposals. • Has excellent attention to detail. • Good time management skills and ability to multitask. • Excellent interpersonal skills and ability to communicate effectively with staff, at all levels, and third parties. • Ability to set and meet objectives. • Is structured, competent, capable of prioritising workloads efficiently and effectively • Is commercially aware. • Strong understanding of the customer journey, extremely customer centric. • Excellent written and oral communication skills. • Outstanding interpersonal skills. • Ideally degree educated
